Hampton University School of Pharmacy is seeking a Secretary to provide quality Administrative support in a fast paced environment. This position provides vital administrative and clerical support to the School of Pharmacy and Office of Student Affairs. The secretary will report directly to the Coordinator of Student Affairs, and be responsible for assisting the Student Affairs office in providing information on inquiries related to School activities including degree requirements, course scheduling, classroom assignments, instructor assignments and student enrollment. The Secretary will be responsible for greeting visitors to the School, entering applications for admission into the applicant database, responding to student inquiries, and assisting with recruitment activities and School of Pharmacy events. The secretary will also be responsible for budgetary procurement of office supplies and school related travel arrangements. The successful candidate will be professional, customer oriented, and skilled at multi-tasking.

Duties and Responsibilities

  • Handle day-to-day communications for the Office of Student Affairs.
  • Assist in maintaining the applicant database and pharmacy student database and other records.
  • Compose letters and memorandums.
  • Manage correspondence with current and prospective students for the School.
  • Perform general clerical duties to include, but not limited to: filing, faxing, copying, mailing, etc.
  • Greet visitors and answer multi-line telephone calls as required.
  • Order office supplies and equipment.
  • Set up and coordinate meetings and conferences.
  • Compile, transcribe, and distribute minutes of meetings.
  • Serve on School-related committees.
  • Assist with coordinating school-related annual ceremonies including White Coat, PAID, Awards and Scholarships and Graduation.
  • Assist with other special programs/events in the School of Pharmacy as needed.
  • Represents HUSOP at all career fairs, open houses, etc. that involve recruitment (i.e. Parents Weekend, Fall Open House, Admitted Students Day, High School Day)

  • Receives new freshman list from Admissions, generates acceptance letters and sends a copy of acceptance letters to Admissions.

  • Assists with the annual new student orientation and new student registration.

  • Perform other duties as assigned by the supervisor.


  • Bachelor’s degree or higher is highly desirable

  • Excellent communications and interpersonal skills

  • Flexibility to travel for recruitment visits in the local area and out of state

  • Ability to work collaboratively within a team and independently on important projects

  • PREFERRED: Previous experience in Higher Education or an Admissions Department
