The Admissions Specialist position receives and manages contact information from prospective students and ensures quality and accuracy of data to support the admissions and enrollment process. This position will report to the Contact Center Manager.

Duties and Responsibilities

  • updating and maintaining student records and databases using Banner and Recruit CRM;
  • working closely with advisors and other Contact Center staff regarding applicant's admission status;
  • using various technology and systems, ensuring accuracy, and efficiency;
  • collaborating with all teams, colleagues, functions, and activities related to inquiries, materials requests, tracking and reporting;
  • performing systems and process testing, research, reporting, training, and documentation;
  • importing and exporting data through admissions databases including the customer relationship management software, the student information system software (BANNER), and Contact Center software;
  • providing exemplary customer service, across all delivery methods, and with all constituents; receiving and reviewing prospective student information from vendors; communicating with applicants, students, and families though telephone, e-mail, and virtual meetings;
  • following through on pending files to ensure all required documents for acceptance to the University are received;
  • participating in and assisting with events and programs.
  • assisting prospective students in registering for recruitment events and/or tours, submitting, and completing their applications, and moving through the pre-enrollment and enrollment phases;
  • recording and maintaining student files in compliance with FERPA;
  • supporting front-line staff by responding to students who contact the Contact Center and all other related duties as requested.


  • High school diploma or equivalent and a minimum of two years’ experience in an office environment or customer service, preferably in Higher Education.

The successful candidate must have:

  • demonstrated technological proficiency, including Microsoft Office and other software applications;
  • working knowledge of computer data entry; proven ability to learn quickly, work efficiently, and accurately under set deadlines;
  • demonstrated ability to work effectively with others in a team environment;
  • ability and willingness to participate in projects that support the enrollment goals of the college; initiative, sound judgment, discretion, and confidentiality in performing duties are required;
  • ability to establish and maintain effective working relationships with students, parents, administrators, faculty members, and others;
  • ability to maintain accurate records, assemble and organize data, and to prepare reports; excellent written and oral communication skills; and a demonstrated proficiency with using computer, email, and imaging.

    Preferred Qualifications

    • Associate’s or Bachelor’s degree
    • knowledge of admissions policies and procedures and enrollment management operations is preferred.
