Description

Hampton University is seeking a secretary to provide secretarial and clerical support to the Department of Fine and Performing Arts. This position serves as a confidential secretary to the senior administrator, department head and/or leader of the Fine and Performing Arts support staff team.

Duties and Responsibilities

Assist faculty with concerns involving academic areas

Handle day-to-day communications 

Operate all major computer programs including Word and  Excel

Prepare correspondence for the chair’s signature

Assist with new faculty orientation

Assist Chair with all University Committee Assignments

Handle the intake of departmental documents such as syllabi, midterms and final grades

Control and ensure the security of major exams and grades for subsequent submission      

 Direct and coordinate the activities of the Department on a day-to-day basis

 Maintain constant contact with vendors, suppliers and company representatives

 Schedule buildings for recitals, portfolio reviews, and production auditions

 Coordinate and assist the chairs with all special programs within the department

 Coordinate logistics for guests entertainers and guests artists

 Coordinate the membership drive and maintain the mailing list for the Friends of the Fine and Performing Arts

 Direct the strict control of combined budgets including Departmental, Hampton Players, and Forensic

 Order supplies and equipment for the Department

 Prepare requisitions for purchases involving all theatrical productions including purchases of tickets for all productions, musician’s fees, printing of posters and programs and radio advertisements.

 Direct and control the management of the theatre as House manager for all theatrical productions

 Coordinate and secure ushers for all theatrical productions

 Prepare all press releases announcing all theatrical productions and art exhibitions

 Coordinate logistics for the cast and crew during Spring Break for the spring production

 Coordinate the logistics of art exhibitions including the caterers, signs, florists, musicians, etc.

 

 

Requirements

The successful candidate must have:

  • Previous professional experience
  • Proficient computer skills including Access, Word, Excel, Outlook, and PowerPoint
  • Excellent communication skills both oral and written
  • High energy and a commitment to accomplishment

  • Interface well with all levels of personnel and management
  • Work effectively under pressure
