Description

Hampton University is currently seeking a secretary for the Marine and Environmental Science Department.  This department prepares students to pursue a career in the interdisciplinary, eclectic field of Environmental Science or to enter graduate school.

Duties and Responsibilities

Priorities – Include (but not limited to) providing support to one of the largest academic schools at the University level; relieve management (Chairperson) of administrative detail; coordinate work flow; update and follow-up on delegated tasks to ensure progress to deadline; take initiative in manager’s absence; keep projects on schedule; maintain hard-copy and electronic filing system for departmental records; general clerical and organizational work (i.e. requisitions, budget transfers, and purchase orders); 

Communications – Compose correspondence / reports for own or manager’s signature; arrange essential mail in priority action order; check deadlines on incoming requests and prioritize; process replies on own initiative or from Chairperson’s dictation or notes; draft research or abstract reports;

Phones – Handle all inquiries within the capacity; arrange “call backs” to maximize supervisor’s time; provide supporting materials for “call backs”; route calls elsewhere as needed; conduct phone surveys / inquiries as needed;

Appointments/Meetings – Maintain a calendar of events/activities; ascertain which events require Chairperson’s presence; fix commitments to maximize Chairperson’s time and efficiency; prepare the agenda in advance; schedule / arrange meeting facilities; and when needed, act as recording secretary to prepare action minutes.    

Requirements

High school diploma, some college preferred.

Proficiency in the use of selected computer software (MS Word, Excel, Access, PowerPoint,Outlook).

Experience with Banner software.

Strong interpersonal and communication skills – written and oral.

Excellent organizational skills.

Professional work ethic.

Must possess the ability to multi-task while paying close attention to detail.
