Reporting to the Dean, the Secretary is responsible for performing all duties assigned by the Dean and serves as the lead administrative assistant in the School of Liberal Arts which has nine educational support staff members.
Duties and Responsibilities
The secretary is responsible for maintaining and securing all confidential records and keys for the departments and programs in the School; processing all forms and proposals; typing and processing all reports for the School to the President, Provost, and other administrative officers of the University; processing and keeping record of all grant submissions; preparing for all School meetings and functions; serving as lead administrative assistant for educational support staff, apprising them of pending deadlines and activities; taking minutes of school faculty meetings and the Dean’s meeting with chairs/directors; assisting in the registration process for all majors; supervising graduate assistants and student workers, including scheduling, assigning work duties, and verifying monthly pay sheets; chairing the School’s Hospitality Committee; organizing and conducting preparation of the School’s commencement weekend activities
The secretary must have excellent interpersonal skills, telephone etiquette, communication skills, and knowledge of various Microsoft Office and other database applications. The successful candidate must be punctual, a self starter requiring minimal supervision and able to work well independently and in a team environment. The candidate must be professional at all times with excellent time management and organizational skills.
