Description

The Student Support Liaison for Hampton U Online works with the Assistant Director of Hampton U Online to manage all student support services for distance education students, including admissions, registration, billing, financial aid, and student records management. 

Duties and Responsibilities

  • Coordinate student support services for distance education students, including admissions, registration, billing, financial aid, and coordination with appropriate campus office
  • Responds directly to online students’ concerns, and takes appropriate actions based on these concerns.
  • Coordinates departmental student support services with other student support services on the main campus.
  • Oversees development and implementation of Enrollment Management Plan
  • Requests and manages budget allocations for enrollment management
  • Updates Office of Enrollment Management Standard Operating Procedures annually
  • Updates annual Enrollment Management Plan

 

Admissions

  • Coordinates mailing of acceptance letters to new students, verifying residency and enrollment status
  • Coordinates process of Notification of Advisor mailing to students
  • Participates in recruitment efforts both on and off campus

 

Registration & Enrollment Management

  • Registrar
  • Organizes and coordinates registration procedures of the college
  • Oversees advisement and enrollment of students
  • Coordinates the enrollment process with appropriate offices in the college
  • Conducts monthly enrollment meeting with Student Services, Business Office, and Financial Aid Office
  • Certifies the enrollment of students
  • Facilitates online registration process
  • Identifies closed courses; dis-enrolls and contacts students; closes classes in BANNER
  • Distributes, collects, and secures confidential grade rosters
  • Distributes student grade reports and academic status reports
  • Performs degree audits, verifies graduates, orders diplomas, and makes required entries in BANNER
  • Produces daily enrollment report
  • Maintains semester enrollment tracking file on daily basis
  • Prepares listings and provides for the verification of graduation status for students; identifies course and credit deficiencies through searches of student records, grade transcripts and rosters; and distributes such records to academic departments
  • Coordinates mid-term advisement process to include mailing of advisement notifications to students
  • Coordinates final grade process; verifies all grades submitted, publishes and mails final grades
  • Calculates which students are on academic probation/suspension; notify academic dean and block enrollment in BANNER when appropriate
  • Calculates and publishes Dean’s list each semester; arranges for certificates to be sent to students
  • Prepares enrollment data for two key performance indicator reports
  • Processes student petitions for graduation
  • Plans and coordinates graduation and commencement ceremonies

 

Billing & Financial Aid

  • Responsible for all Veterans Administration educational benefits student advising, form submissions, certification submissions, and student progress tracking
  • Verifies paid enrollments; dis-enrolls those not paid
  • Notifies instructors of students blocked from classes due to financial holds; notifies instructor when holds are released

 

Student Records Management

  • Conducts and records transcript evaluations on transfer students
  • Maintains all student academic records, following principles and regulations of records retention, confidentiality, and security
  • Ensures FERPA requirements and the provisions thereof are not violated on campus
  • Coordinates with the Computer Center regarding the development and maintenance of computer services related to student records and enrollment to include BANNER, CAPS, and HUNet maintenance, training, updates, and troubleshooting
  • Assists the Director and Assistant Director in the preparation of reports as required
  • Prepares and submits enrollment and graduation related IPEDS reports three times yearly
  • Gathers data and prepares Commission on Higher Education (CHE) reports as required
  • Generates computerized reports of unsatisfactory academic progress
  • Performs other duties as assigned

Qualifications

A Bachelor’s Degree is required.  Preference will be given to candidates with two years of experience working with a distance learning program.
