Description

The Assistant Registrar is a vital role within Hampton University Online (HU Online) as it mandates the accurate reporting of information relating to enrollment, admissions, retention and any other reports that may arise. The successful candidate will have the capability to provide information on enrollment history, student transcripts (when necessary), and institutional research within HU Online.

Duties and Responsibilities

The successful candidate will be able to perform the tasks listed below:

  • Facilitate the submission of all internal and external reports coming from the Banner system.

  • Oversee course registration and grade submission processes each session.

  • Create and implement online application for all units of University College.

  • Submission of all forms involving the posting of grades and/or grade changes, changes of major, withdrawals, applications for graduation.

  • Input course schedules into the Banner system and create CRN numbers for the scheduling guides.

  • Create the academic terms for University College in the Banner system and handle the distribution of report cards.

  • Enter the students’ application information into Banner and email acceptance letters to the students.

  • Assist students in resolving account balance issues.

  • Maintain accurate student records.

  • Research, analyze and assist in resolution of student disputes as they relate to records and registration.

  • Enter transcript evaluations into Banner and process transcript requests.

  • Communicate with adjunct instructors as needed.

  • Process transcript requests; then mail them out and submit payment to Treasure’s Office.

  • Ensure compliance with academic, regulatory, and accreditation policies and requirements.

  • Complete and submit reports to Clearinghouse, Institutional Research, Financial Aid, and Honors College.

  • Provide reports and/or rosters and labels to Honors College, Honors Society, Key Club and the Alumni Association.

  • Provide statistics to Registrar’s Office for enrollment history reports, for Spring, Summer and Fall.

  • Maintain students’ files, including grades, applications and registration forms.

  • Run report and assign advisement pins for Academic Coordinator (AC) each semester.

  • Enter applications, registration, and grades for special workshops; then mail the transcripts.

  • Build and update programs in Banner CAPP system for degree audits.

  • Complete and submit verification information for students.

  • Provide enrollment reports when requested.

  • Responsible for ensuring that all students who applied for graduation are cleared, and to handle all of the responsibilities for commencement diploma awarding ceremony (e.g. diplomas, financial clearance cards, honor cords).

  • Prepare the University College calendar for the catalog.

  • Attend all Banner training and participate in all implementation teams.

Requirements

  • Must possess excellent interpersonal skills.
  • Must demonstrate initiative and possess the ability to complete projects from idea to implementation.

  • Must be organized and possess the ability to multi-task.

  • Sensitivity to the needs of a diverse student population.

  • Ability to effectively communicate with students for who English is not their first language.

  • Proficient in Microsoft Office Suites and applications to include Excel and Access.

  • Proficient in Banner or CampusVue Applications.

Qualifications

  • Bachelor's degree in Office Administration or Student Services is preferred.
  • Prior Community College or Continuing Education work experience is a plus.
