Hampton University is seeking a secretary to provide administrative and clerical support to the Hampton University Child Development Center. The secretary will be responsible for responding to all parents, students, staff and the director and to administrative inquiries on the academic and administrative activities in the Child Development Center including children’s, volunteers and work study student’s records, and children’s enrollment in each of the classrooms. The secretary will be responsible for budgetary procurement of office supplies, and related travel arrangements.    

Duties and Responsibilities

  • Perform general clerical duties to include, but not limited to: filing, faxing, copying, mailing

  • File and retrieve documents, children’s, volunteers and work study students records, and reports for the Child Development Center

  • Communicate orally and written to inquiries and provide information

  • Maintain office calendar to coordinate activities, work flow and meetings

  • Open, sort, and distribute incoming correspondence, including faxes and emails

  • Coordinate and direct office services, such as budgeting, personnel, and housekeeping

  • Set up and coordinate meetings and conferences

  • Compile, transcribe, and distribute minutes of meetings

  • Answer incoming phone calls and direct to the director/staff member

  • Ensure items placed in the in-box are signed and returned appropriately

  • Responsible for document tracking

  • Notify the director/staff of orders when they are due and place orders as the budget will allow

  • Maintain all office equipment (i.e. typewriter, copier, fax, printer, shredder, etc.)

  • Handle the intake of documents

  • Coordinate and assist the Child Development Center with all special programs

  • Handle all day to day communications


  • Must have a high school diploma or GED and previous professional experience

  • Proficient in Microsoft Office, scanners and facsimile machines

  • Excellent communication and organization skills

  • Ability to work well either alone or as part of a team

  • High energy and commitment to accomplishment
