Description

The secretary will provide administrative and clerical support to the Office of Fine and Performing Arts.  

Duties and Responsibilities

  • Assist faculty with concerns involving academic area.

  • Prepare correspondence for the chair’s signature.

  • Assist with new faculty orientation.

  • Assist Chair with all University Committee assignments.

  • Handle the intake of departmental documents such as syllabi, midterms and final grades.

  • Direct and coordinate the activities of the Department on a day-to-day basis.

  • Maintain inventory control of Areas of Art and Theatre.

  • Maintain constant contact with vendors, suppliers and company representatives.

  • Coordinate and assist the chair with all special programs within the department.

  • Coordinate logistics for guests, entertainers, and guest artists.

  • Maintain an updated mailing list for the Friends of the Fine and Performing Arts.

  • Direct the strict control of combined budgets including Departmental, Hampton Players, and Forensics.

  • Order supplies and equipment for the Department.

  • Prepare requisitions for purchases involving all theatrical productions including purchases of tickets for all productions, musician’s fees, printing of posters and programs and radio advertisements.

  • Prepare all press releases announcing all theatrical productions and art exhibitions.

  • Coordinate the logistics of the art exhibitions opening including the caterers, signs, florists, musicians, etc.

  • All other duties as assigned by Supervisor.

Requirements

  • Handle day-to-day communications.

  • Operate all major computer programs including Word and Excel.

Qualifications

Bachelor’s degree preferred with arts and/or arts administration experience.
