The Secretary assigned to the Dean of Nursing, is responsible for the administrative/secretarial responsibilities of coordinating the Nursing programs and is required to abide by the rules and guidelines as set forth by the Virginia State Board of Nursing, and other accrediting bodies. The incumbent is responsible for reporting statistical data to various governing agencies, assembling information, verifying accuracy, and input of information into the computer for processing of data according to established procedures and timelines.

Duties and Responsibilities

  • Create, compose, prepare and maintain correspondence and information independently or from oral/written instructions.
  • Maintain a variety of files and records, including some that are confidential in nature. Compile difficult and complex statistical and narrative reports from a variety of sources; prepare, duplicate and collate materials; review, check, correct and compile a variety of information; verify data for accuracy, completeness and compliance with established procedures.
  • Organize and manage the day-to-day activities of dean and program(s) to ensure efficient and effective program and office operations; coordinate communications; assist dean with administrative matters; and resolve conflicts.
  • Receive, open and route mail; order, issue and maintain department supplies and forms. Order and disburse a variety of materials to other departments, faculty, students and the community.
  • May provide training and work direction to work study students as assigned.
  • Schedule meetings and appointments for Dean; prepare agenda items for meetings; maintain records, attend meetings, take notes and prepare minutes for distribution to appropriate personnel as needed.
  • Initiate and answer telephone calls; screen and direct calls and visitors to appropriate personnel; schedule and confirm appointments. Respond to requests for information from students, staff and the general public regarding programs, policies, procedures and regulations.
  • Coordinate and prepare new faculty obtaining all required documents for Request for Contract.
  • Research, compile and complete all SON academic and routine reports.
  • Research, compile and complete all SON surveys from Approval and Accrediting Agencies/Organizations.
  • Maintain accurate record keeping of School of Nursing materials relative to all faculty on an ongoing basis.
  • Perform other duties as assigned by the Dean.
  • Perform a variety of duties and assignments which require the use of independent judgment; interpret and apply a wide range of policies and procedures in support of functions delegated to assigned administrator(s).
  • Establish and maintain cooperative and effective working relationships with others.


• Working knowledge of word processing and database software required.

• Operation of a computer and computer applications.

• Ability to juggle multiple projects with superb accuracy and problem solving skills
