Description

This position will focus primarily on assisting faculty and staff with managing financial and administrative matters associated with sponsored projects. The successful candidate will possess: a minimum of two (2) years of experience in Post-Award Grant and Contract administration; a broad knowledge base in a technical field (i.e., sponsored programs, finance, business administration or contract administration); and demonstrated knowledge of federal regulations governing Sponsored Programs, to include Uniform Guidance, FAR and DFAR clauses and export control.  Preference will be given to candidates with experience in an academic setting. A Bachelor's degree is required. Salary is commensurate with experience.

Duties and Responsibilities

    • Facilitating project set-up in Banner based on award documentation provided by the Office of Sponsored Programs (OSP).  Notifying Principal Investigator (PIs) when account has been established and providing account # to PI, OSP and Business Office personnel.
    • Assisting Principal Investigators (PIs) with the management and oversight of fiscal and administrative matters related to projects from inception of award to project closeout.
    • Reviewing and approving expenditures (i.e. requisitions, travel advances and vouchers, payroll and hiring authorizations, student aid and hiring forms, etc.) to ensure compliance with agency-specific requirements, federal regulations and University policies and procedures.
    • Monitoring and coordinating the auditable reporting and cost sharing required on projects. Providing reporting and documentation to funding agencies when necessary.
    • Collecting and maintaining records of time and effort certifications.
    • Reconciling any project deficits or other corrections resulting from budget transfers or other allocations.
    • Ensuring compliance of all project reporting and deliverables; tracking and seeking PIs cooperation to remedy late progress reports.
    • Coordinating and assisting PIs with project closeout to ensure timely submission of all required documentation (i.e. final technical reports, patent/technology reports and property and final financial reports that are prepared by the Business Office, etc.).
    • Assisting, as needed with all audits conducted by external funding agencies.
    • Working closely with OSP to provide interpretation of terms, conditions, and procedures of the specific project, the sponsoring agency and the University.
    • Providing training and project orientation to investigators as needed.
    • Communicating with investigators to resolve complex project administration issues.
    • Establishing and maintaining effective working relationships with investigators, faculty and staff to ensure that all services are provided with a proactive customer service orientation.
    • Maintaining spreadsheets and databases for project tracking and management.
    • Completing other duties as assigned.

Requirements

  • Highly proficient computer skills including Access, Word, Excel, Outlook, and PowerPoint

  • At least two years of administrative experience

  • Able to perform multiple tasks with similar deadlines

  • Demonstrate excellent organizational and planning skills/attention to details

  • Must be able to provide excellent customer service to multiple constituents

Qualifications

  • Applicant must hold a bachelor’s degree

  • A Master’s degree is preferred
