Hampton University Department of Physics is seeking a Secretary to provide quality Administrative support in a fast paced environment. The secretary will be responsible for responding to student, faculty and administrative inquiries related to the Department’s activities including degree requirements, course scheduling, classroom assignments, instructor assignments and student enrollment. The Secretary will also be responsible for greeting visitors to the Department of Physics, entering applications for admission into the applicant database, responding to student inquiries, and assisting with recruitment activities and the Department of Physics events. The Secretary will also be responsible for budgetary procurement of office supplies and school related travel arrangements. The successful candidate will be professional, customer oriented, and skilled at multi-tasking.

Duties and Responsibilities

  • Be Able To Answer A Multi-Line Telephone
  • Will report directly with the Department Chair

  • Liaison With Internal And External Contact

  • Prepare Format Typeset Newsletters And Information Flyers For Distribution

  • Maintain Office Space And Equipment

  • Prepare The Processing Of Department Documents For Signatures

  • Prepare Travel Paperwork Upon The Request Of Faculty

  • Prepare And Manage Correspondence, Reports And Documents

  • Take, Type And Distribute Minutes Of Meetings

  • Maintain Schedules And Calendars

  • Arrange And Confirm Appointments For Department Chair, Upon Request

  • Organize Internal And External Events

  • Handle Incoming Mail And Other Material

  • Set Up And Maintain Filing Systems

  • Communicate Verbally And In Writing To Answer Inquiries And Provide Information

  • Operate Office Equipment

  • Manage Office Space

  • All other duties as assigned by Supervisor


  • Must have a high school diploma or GED and previous professional experience.

  • Must have proficiency in the use of Microsoft Office Suite of products including MS Word, Excel, Access, PowerPoint and Outlook.

  • Must have strong communication and organization skills.

  • Have the ability to be flexible and work well either alone or as part of a team

  • Be high energy and commitment to accomplishment

  • Perform multiple tasks and work effectively under pressure

  • Possess strong interpersonal skills.

  • Have the ability to provide services and accurate information in a courteous and timely manner.
