Description

The secretary will provide administrative and clerical support to the Vice President for Research.  The successful candidate reports directly to the Vice President for Research and will work closely with the Graduate College.

Duties and Responsibilities

The duties listed below are representative of the knowledge, skill, and/or ability required for this position. Therefore, the successful candidate will be expected to:  

  • Work closely and serve as liaison between the Chief Health Officer, Office of Sponsored Programs, Institutional Research, and Office of the Chaplain, Cancer Research Center, Skin of Color Research Institute, the International Office, Graduate College, Grants Management, and the Internal Auditor.

  • Generate documentation to include editing, formatting, revising and printing forms, correspondence, lists, charts, reports, records, schedules, templates, and other similar documents.

  • Take minutes for various meetings.

  • Recordkeeping.

  • Research information as requested.

  • Plan, arrange and coordinate meetings, conferences or other group events.

  • Compose agendas for different meetings.

  • Maintain daily calendar.

  • Monitor office budget.

  • Complete travel paperwork and requisitions as needed.

  • Manage and order supplies.

  • Manage multiline telephone system.

  • Prepare and compose routine letters.

  • Gather information and type various reports.

  • Prepare various reports.  

  • Manage the office and maintain a constant professional flow.

  • Troubleshoot.

  • File and retrieve documents.

  • Other duties as assigned by the Vice President for Research.

Requirements

  • High school diploma or equivalent and three years of clerical/secretarial experience and/or training; or equivalent combination of education and experience.

Qualifications

The successful candidate must possess the ability to:

  • Learn and work with the Banner system.

  • Communicate effectively both orally and in writing with a wide variety of constituencies including faculty, staff, students, and the public.

  • Deliver outstanding customer service.

  • Perform tasks with the use of office equipment to include computers, copiers, scanners, etc., and Microsoft Office (Excel, Outlook, Word, PowerPoint, etc.).

  • Exercise confidentiality and discretion at all times; and prioritize, plan, and organize multiple tasks and projects using organizational skills.
