Description

The Administrative Coordinator is responsible for assisting the Project Coordinator with various tasks related to the organization of project activities and the day to day management of Violence Prevention Research Project.  This person will perform a variety of clerical, administrative and managerial duties necessary to plan and implement this research project efficiently.

Duties and Responsibilities

  • Performs clerical tasks, including typing, copying, retrieving, sorting and sending mail.

  • Manages front desk operations (including answering the telephone and greeting visitors at the reception area).
  • Provides information regarding program.
  • Processes referrals (including screenings, surveys and interviews).
  • Outreach to prospective participants and families and community groups.
  • Coordinates development and efficient execution of program sessions/workshops and other activities for participants.
  • Along with Project Coordinator, manages, monitors and coordinates recruitment, screening and selection of participants.

  • Manages and monitors the development and implementation of program training sessions and materials for facilitator, mentors and staff.

  • Develops and maintains an ongoing log of project activities.

  • Maintaining a master calendar of meetings and deadlines.

  • Archives resources in Hampton and Newport News for participants that provide violence prevention, drug abuse services and other resources.

  • Catalogs and organizing partner and community contacts.

  • Serves as events coordinator (including overseeing the organization and implementation of focus groups, trainings, meetings, etc.)

  • Provides training and orientation for student workers.

  • Assists in organizing materials for the curricula.

  • Assists with organizing materials for training.

  • Maintains project photo and video archive.

  • Maintains office equipment and supplies.

  • Displays a high level of effort and commitment to performing work.

  • Operates effectively within the organizational structure.

  • Demonstrates trustworthiness and responsible behavior.

  • Ensures compliance with all grant requirements.

  • Prepares, maintains and submits all required reports.

  • Assists with other duties as assigned by the Lead PI.

Requirements

  • Demonstrated successful experience managing and organizing office activities.

  • Demonstrated knowledge of and successful experience working with one or preferably more of the constituencies that will be involved in the research project including universities, private sector social service organizations, community leaders, the faith community, etc.

  • Knowledge of and experience in social science research.

  • The ability to work independently and as a member of a team; demonstrated initiative and sense of ownership for projects.

  • Strong commitment to the importance of violence prevention.

  • Able to work from Hampton University.

  • Able to live in Hampton Roads area.

  • Minimum of a bachelor’s degree.
