Description

Acts as receptionist and telephone attendant by relaying incoming and interoffice calls.

Handles incoming and outgoing direct mail; general office functions; performs related work as required.  Composes, edits, and proofreads correspondence and reports, and prepares a range of administrative documents.  Work is performed under the general supervision of the elected official or department head.

Duties and Responsibilities

  1. Operates HU Telephone System to relay incoming and interoffice calls.
  2. Provides administrative/secretarial support for the department/division such as assisting visitors, and resolving and/or deferring a range of administrative problems and inquiries.
  3. Receives, sorts, and posts all incoming mail.
  4. Arranges for meetings and conferences and may take minutes.
  5. Operates personal computer to compose, edit, and distribute agendas and/or memoranda from dictation, verbal direction, or from knowledge of established department/division policies.
  6. Assist in maintaining office equipment and purchases, requisition supplies, printing, maintenance and other services.
  7. Arrange and schedule calendar, regularly interfacing with Politicians and Businessmen, and make travel arrangements.
  8. Performs other duties as may be assigned.

Requirements

High school diploma or GED with 3 to 5 years experience directly related to the duties and responsibilities specified.
