Only currently enrolled students, faculty, and staff of Hampton University
may use Harvey Library’s ILL service. Patrons who are not affiliated
with Hampton University may contact a public library to place an ILL
request. Students enrolled in other Colleges and Universities should
request ILL service from their Institutions. Pre-college students are
not eligible for Interlibrary Loan privileges.
Before creating an account, you must be currently registered with Circulation
at Harvey Library. Contact 727-5372. To create your account, log on
Harvely Library's web page. Select ILLIAD
and then "First Time user -
Sign up now " and follow the instructions. When you are on the registration
form, enter your profile information. When done, click the Submit button.
You should receive a confirmation that your account has been set up.
The following categories must be as follows:
When done, hit the Submit button. You should receive a confirmation that
you are registered on the next screen.
Harvey Library will not accept requests for items, except through the
patron's ILLiad account. Before submitting a request, do the following:
Check with HU Webcat, the
Harvey Library Online Catalog, to make sure Harvey Library does not
own the item. Check the Databases link or the Ejournal Finder
from the Harvey
Library Webpage to make sure there is not an electronic version
available for the article you want. Finally after ensuring that we do
not possess the item in our Library, you may make a request for an Interlibrary
Loan.
Harvey Library uses the ILLIAD
system for Interlibrary Loan. You must first have created an account
with ILLiad (See "How to create an Account" above). To place a
request, go to Harvey Library’s Webpage
and click on the ILLiad
link. Login with your Username and Password. On the Request form, follow
the instructions and then hit the submit button. You should receive
a confirmation that the request has been submitted successfully and
you would be given a Transaction Number (TN).
- NOTE: Provide a complete and accurate citation.
You are encouraged to contact the Reference Department for help
verifying citations at (757) 727-5186 or (757) 727-5379.
- INTERLIBRARY LOAN THROUGH RESEARCH DATABASES: Most
Research Databases allow you to submit Interlibrary Requests directly
through the "Article Linker". Contact a Reference Librarian
for more information at (757) 727-5379.
You will receive an email in your Pipeline email (students) or in your
Hampton University Outlook Email (faculty and staff), or a telephone
call to let you know your material is ready to pick up.
Pick up books at the Circulation Desk on the 1st floor of the Harvey
Library. Most articles will be sent electronically and can
be retrieved by going to your ILLIAD
account and clicking on the link that says View/Download Electronically
Recieved Articles. Occasionally articles copies may have to be picked
up at the Circulation Desk.
Your request may be cancelled for the following reasons:
- Incorrect citation.
- Materials that are available through the Harvey Library online databases.
- Materials owned by the Harvey Library.
- Your Library Account with the Circulation Department is blocked
because of fees or fines.
- Other reasons - the reason will be given in the email notice you
receive about the cancellation.
The length of time varies. Books arrive from 1 - 4 weeks after request.
Journal articles may arrive within 48 hours under optimal circumstances,
but may take as long as 1-2 weeks. This is dependent upon factors
such as whether the sending library mails the articles in print or
sends them electronically.

Generally, you will have at least 2-4 weeks. Often a library in Virginia
will let you keep the item for 6-8 weeks. The due date is on the sticker
on the cover of the book.
The lending library determines when the items are due. If you need
to renew, go to the ILLiad link on the Harvey Library Webpage. Open
your ILLiad account. Scroll down to “View/Renew Checked Out
Items” This will bring up a list of items you have checked out.
Request your renewals. NOTE: Some libraries will not
renew materials. You need to request renewals at least 4 days before
the due date on your ILL items.
- Books, journal articles,
chapters from books, theses/dissertations, patents and other non-print
materials. Items that are owned by Harvey Library but declared lost
or missing. Some materials may not be available by ILL, such asMaterials
owned by Harvey Library, unless missing or lost. Reference books Whole
issues/volumes of journals Rare, fragile, and special collection books
Maps/atlases. Doctoral Thesis are very unlikely to be available.
- You can request up to TEN ITEMS PER WEEK. Also, you can only have TEN books out at one time.

Most Interlibrary loans are free, however some libraries charge Harvey
Library a fee for Interlibrary Loan. Harvey Library will not request
materials that have fees without asking your permission first. You
will be responsible for paying the fee.

? Harvey Library’s borrowing privileges with other libraries
are affected when our patrons do not return materials to us in a responsible
manner. In order to ensure that the University remains in good standing,
the following measures will be taken when one of our patrons does
not return materials that we borrowed from other libraries:
- You are liable for any overdue, lost, or damaged item. The amount
of that liability is determined by the lending library. In accordance
with National ILL guidelines, the lending institution may impose
additional fees to cover the administrative costs of replacing
these items.
- We will communicate directly with the student, faculty, or staff
member who borrowed the materials. If this effort to retrieve
the ILL materials is not successful, a written letter will be
sent to the office of the Dean of Men or Dean of Women or in the
case of faculty and staff, the Department Chair or Unit Head.
- Non-paid fees are passed on to the Business Office and placed
on the Student Account. A block is placed at the Library on borrowing
privileges.
