The Secretary assigned to the Department of Computer Science is responsible for providing administrative/secretarial support to participants (primarily students and faculty) in the Computer Science Department at Hampton University.

Duties and Responsibilities

  • Create, compose, prepare and maintain correspondence and information independently or from oral/written instructions.

  • Maintain a variety of files and records, including some that are confidential in nature. Compile and prepare, duplicate and collate materials; review, check, correct and compile a variety of information; verify data for accuracy, completeness and compliance with established procedures.

  • Organize and manage the day-to-day activities of Chair and program(s) to ensure efficient and effective program and office operations; coordinate communications; assist chair with administrative matters; and resolve conflicts.

  • Receive, open and route mail; order, issue and maintain department supplies and forms. Order and disburse a variety of materials to other departments, faculty, students and the community.

  • May provide training and work direction to work study students as assigned.

  • Schedule meetings and appointments for chair; prepare agenda items for meetings; maintain records, attend meetings, take notes and prepare minutes for distribution to appropriate personnel as needed.

  • Initiate and answer telephone calls; screen and direct calls and visitors to appropriate personnel; schedule and confirm appointments. Respond to requests for information from students, staff and the general public regarding programs, policies, procedures and regulations.

  • Coordinate and prepare new faculty obtaining all required documents for Request for Contract.

  • Research, compile and complete all Computer Science academic and routine reports.

  • Maintain accurate record keeping of Computer Science materials relative to all faculty on an ongoing basis.

  • Perform other duties as assigned by the Chair.

  • Establish and maintain cooperative and effective working relationships with others.


  • High school diploma or equivalent.
  • Excellent interpersonal skills, knowledge of Microsoft Office, and general office skills.


  • Working knowledge of MS Word software required.

  • Operation of a computer and computer applications.

  • Utilize the Copier and send FAX

  • Strong administrative skills

  • Exceptional customer service skills, over the phone and in person

  • Oral and written communications skills.

  • Interpersonal skills using tact, patience and courtesy.
