The Aviation Department secretary performs routine clerical and administrative functions such as drafting correspondence, scheduling appointments, organizing and maintaining paper and electronic files, and providing information to visitors and callers regarding academic programs. The secretary also creates and tracks requisitions, work orders, correspondence, organizing and orders supplies.

Duties and Responsibilities

  • Prepares invoices for flight schools.

  • Managing the day to day operations of office activities.

  • Preparation of meeting agendas and meeting notes.

  • Assist in the planning of research, training, and education and outreach activities.

  • Assist in the preparation of annual reports and accreditation material.

  • Produces information by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics.

  • Organizes work by reading and routing correspondence; collecting information; initiating telecommunications.

  • Maintains department schedule by maintaining calendars for department personnel; arranging meetings, conferences, teleconferences, and travel.

  • Completes requests by greeting customers, in person or on the telephone; answering or referring inquiries.

  • Maintains customer confidence and protects operations by keeping information confidential.

  • Prepares reports by collecting information.

  • Maintains office supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies.

  • Keeps equipment operational by following manufacturer instructions and established procedures.

  • Secures information by completing database backups.

  • Provides historical reference by utilizing filing and retrieval systems.

  • Maintains technical knowledge by attending educational workshops; reading secretarial publications.

  • Contributes to team effort by accomplishing related results as needed.

  • Transport flight students to and from Hampton University and Rick Aviation daily.

  • Other duties as assigned by the Chair


Must have working knowledge and experience in the application/operation of Microsoft Office Suite software programs that go far beyond basic word processing. Work may involve the design and development of documents, spreadsheets, and graphic materials needed for internal and external presentations.


  • Some college or high school diploma with strong grammar, writing and organizational skills.

  • Must possess good interpersonal skills.

  • Must be organized and possess the ability to multi-task.

  • Must possess strong verbal and written communication skills.

  • Proficiency with Microsoft Office Suites and applications to include Excel.

  • Proficiency with BANNER is preferred, but not required.

  • Knowledge of aviation and/or flight schools is preferred.

  • Must process a valid drivers license and good driving record
