TRIO Talent Search (TS) is a federal TRIO Program funded through the U. S. Department of Education to provide academic, career, and financial counseling to eligible middle and high school students and to encourage them to graduate from high school and pursue their post-secondary education. TRIO Talent Search Program consists of a Middle School Component that serves 6th, 7th, and 8th grade students in five target schools. The High School Component serves eligible 9th, 10th, 11th, and 12th graders in four target schools in Hampton. Once selected into the program, participants are eligible to receive a variety of opportunities and resources, including: free tutoring services (central, and onsite) during the academic year, annual college tours, academic workshops, SAT/ACT prep courses, financial aid & literacy workshops, as well as assistance learning about and applying to college.

Duties and Responsibilities

The Administrative Assistant is a full time, 12 month employee who reports to the Program Director and performs the following duties:

  • Perform administrative responsibilities required to effectively manage the project and work in concert with all staff to ensure that program goals and objectives are met.

  • Distribute incoming mail, type memoranda, prepare weekly meeting agenda and minutes, and file correspondences with the Office of the Vice President for Administrative Services

  • Monitor, balance, process, record, and report monthly all expenditures for grant budget.

  • Maintain administrative files of all program activities and records of participants, design activity flyers, process mass emails to program participants, and prepare on-line requisitions.

  • Assist Director with University and U.S. Department of Education reports.

  • Assist project staff to ensure effective use of technology.

  • Send email & correspondence to participants about upcoming events

  • Supervise the work study student(s) who perform general clerical duties

  • Enter student data into the program database, generate reports as requested, and perform other duties as assigned by the Program Director.


  • The successful candidate must possess a high school diploma, have a minimum of three years of clerical experience, to include impeccable record keeping, accounting and organizational skills. Candidates actively pursuing a postsecondary degree will be strongly considered.

  • Ability to efficiently operate a personal computer and various types of office equipment and standard computer software packages (Outlook, Word, Excel, Blumen, etc.)

  • Possess a professional manner, effective written and oral communication skills, the ability to manage undergraduates, and demonstrated commitment to work with students from low-income, first-generation college backgrounds and students with disabilities.

  • Ability to maintain confidentiality of records and information.

  • Ability to detect and correct grammatical and spelling errors in written correspondence.

  • Ability to maintain files accurately, in paper and in software programs.

  • Ability to accurately prepare records and reports.

  • Ability to perform multiple responsibilities simultaneously, to work in a self-directed environment, and to plan and organize on both a daily and long-term basis.

  • The position requires regular standing and walking. The employee must regularly lift and/or move up to 10 pounds and occasionally lift and/or move up to 25 pounds.
