Description

The Secretary position requires performance of a variety of complex secretarial and clerical duties requiring comprehensive knowledge of the departmental programs. This person serves as initial contact for all Career Center customers including students, employers, administrators and external guests. The Secretary maintains confidentiality and have unquestionable integrity. This position requires the ability to learn new software are upgraded and the ability to effectively present information and responds to questions from students, administrators, staff and the public. The Secretary must have ability to speak clearly and concisely both in oral and written communications, ensures that effective office procedures are established and maintained, and have excellent attendance.

Duties and Responsibilities

  • Performs duties of a confidential nature regarding student information
  • Assists in supervising the Work-Study students and maintains their schedules and time sheets
  • Reconciles requisitions with the office budget accounts
  • Maintains general office files
  • Types reports, requisitions, budgets, work orders, reports, travel requests, Expense Vouchers
  • Processes and distributes mail
  • Records minutes of staff meetings and distributes to staff members
  • Order and maintains office supplies
  • Maintains inventory of office furniture and equipment
  • Processes space forms for employer information sessions
  • Receives telephone calls and directs them to appropriate staff
  • Assists students with the Career Center e-recruiting on-line registration
  • Attends evening or weekend seminars and workshops as needed
  • Attends selected meetings in the absence of the director
  • Assists students with the on-line Discover Program
  • Supervises the Computer Lab
  • Assists the Recruiter with the career fairs and Graduate and Professional Day as assigned by the director
  • Assists the Recruiter with the profile booklets as assigned by the director
  • Manages the office day-to-day activities
  • Assists with producing flyers for workshops and seminars
  • Perform other duties as assigned by Supervisor

Qualifications

The Secretary will have superior computer skills with excellent written and verbal communication skills, excellent attendance and must demonstrate maturity and have outstanding work ethic. Knowledge of Microsoft Office required.
